By submitting your application for an international program you (the ‘participant’) are confirming that you agree to these terms and conditions.

You will be binding into a legal agreement with The Sustain Ability Project (TSAP). Please ensure that you read them carefully and contact TSAP if you have any questions about them before completing your booking.

Services Provided:

The Sustain Ability Project agrees to organise and support you in delivering a project, as agreed upon in writing between you and TSAP Travel.

  • Arranging full pre-departure briefing via a video call and email transactions

  • Provide a full itinerary (this may be adapted when in-country)

  • Arrange suitable accommodation and food for the duration of the project

  • Arrange transfers from the airport when you arrive in-country

  • Ensure project leaders are in-country and there to support you throughout the duration of your project

  • Arrange all equipment required and any training (& materials) where required

  • Provide and maintain an international support structure

  • Provide 24-hour emergency desk support

  • Provide insurance for the duration of your stay (unless declined)

  • Provide international travel assistance and advice

Please note our projects and activities currently outlined on our website are for projects being delivered in 2023 and will be updated for projects in 2-24 and so on. TSAP reserves the right to make changes to any of our projects to ensure we are achieving our mission and benefiting local communities. We will ensure you are updated of any changes to your project prior to the commencement of your outward journey.

Any information we provide in regards to but not limited to visas, vaccinations, insurance, healthcare, climate, flights, baggage, group sizes and equipment is in good faith and for informational purposes only.

Refusal of Service

The Sustain Ability Project reserves the right to refuse service if your DBS check is unsuccessful and anytime during the program if you do not follow TSAP Travel in-country guidelines.

Application Process

You can initially submit an application form through the website and then you will be required to provide further details to complete the application process:

  • Legal name

  • Phone number

  • Email address

  • Date of Birth

  • Any medical requirements

  • Any dietary requirements

  • Citizenship and country of residence

  • Emergency Contacts

You must update TSAP Travel if any of the details you provide at the time of application change. If you fail to update us of any changes or provide the incorrect information there will be grounds for cancellation and a maximum 50% refund of your project.

Documentation Required

  • You need to provide proof of travel and medical insurance for the entire duration of your trip. We strongly recommend that you obtain insurance that protects you against;

    • Losses caused by travel

    • Loss or damage of baggage and/or personal effects by any means

    • Non-refundable airfare

    • Emergency security or medical evacuation

    • Any other medical expenses including medical coverage for exposure/infection of coronavirus

    • Trip cancellation cover (to protect yourself against inability to travel for medical reasons, covid-19 or if someone in your family is taken ill or suddenly dies)

Health & Medical Forms

A medical form will be provided at the time of booking and must be completed at least 4 weeks prior to the commencement of your project. As per the application process if you fail to disclose any known medical conditions or choose to misrepresent any of your medical information is grounds for cancellation of your project with a maximum 50% refund.

Covid-19 Rules and Regulations

Rules and regulations regarding coronavirus are continuously changing, meaning when you book your project there is a chance that it might not go ahead as planned due to covid-19. In this instance we will provide you with a 75% refund, unlike other organisations we understand that covid-19 is not your fault, meaning there is no need to take 100% of fees paid. However, we will have already paid some costs (for example, insurance, transaction fee and provided you with a staff member to assist you through your application and help you prepare for your project commencement, etc.) meaning we will still need to take a small percentage (25%) to help pay those costs.

REMEMBER The Sustain Ability Project does not determine the rules countries put in place therefore you need to be aware of the rules both in your home country and the country you’re visiting. Meaning that if a covid-19 vaccine and/or quarantine is required, you need to ensure that you are abiding by the rules put in place. Whilst we do not require you to have a vaccine to travel with us, if it is required by the country you are visiting you will need to be vaccinating against covid-19 and any other required vaccinations (such as yellow fever).

If you fail to abide by any of the rules (including coronavirus laws when in-country) you will not be permitted to commence or continue you project with TSAP Travel and this result in 0% of fees paid being returned.

Covid-19 Quarantine

If you are required by your visiting country to quarantine this will need to be arranged by you. However, TSAP are able to advise you on the best course of action but will not be held liable if there are any issues with your quarantine arrangements but a staff member will arrive at the airport to support you if quarantine is required. If you need to quarantine in your visiting country we recommend you arrange to quarantine prior to the commencement of your project, so you can obtain full value for money. When you are in quarantine (even before project commencement) you will have daily video/telephone chats with an in-country staff member and potentially some of the team and other volunteers.

If you fail to abide by any of the rules (including coronavirus laws when in-country) you will not be permitted to commence or continue you project with TSAP and this result in 0% of fees paid being returned.

Medical Care

The Sustain Ability Project staff members are not medical professionals and medical care in the countries you are visiting are unlikely to be what you are used to in your home country. Staff members will be able to assist you in visit local health centres, hospitals and pharmacies. It is important to note that you will be responsible for administering your own medicine and informing a TSAP staff member when you feel you need medical support.

Emergency Contact

Prior to beginning a project with The Sustain Ability Project you will be required to provide an emergency contact and their details. If we dream it necessary we reserve the right to contact this person.

Visas and Passports

It is your responsibility as the participant/volunteer to ensure that you have all necessary visas and a valid passport for your project. If you have been provided visa information by The Sustain Ability Project it has been given in good faith and TSAP cannot be held responsible if there has been a change to visa rules, the decision to deny a visa application, refuse entry, etc. We do not accept any liability for losses that you may incur arising from any visa complications, however, if you cannot travel with us due to an unforeseen visa issue we will refund 75% of your project payments.

Other Documentation

To comply with local visa and permit requirements, you may also be subject to provide additional documentation including, but not limited to;

  • Passport details

  • Flight arrival and departure information

  • Home country status (citizenship)

Project Fees

TSAP Travel understands that sometimes life gets in the way and you need to cancel your trip, in this instance we will refund you 50% of you project fee, if you cancel 1 month prior to the commencement of your project. If you cancel 2 weeks (14 days) prior to your project commencement date TSAP Travel with refund 25% of your project fee. If you cancel within 14 days of your project commencement you will not be eligible for a refund. PLEASE NOTE: Any payments or donations made via the Donation Page are non-refundable.

Your program fee will be outlined within your welcome email, if at anytime the cost of the project is a concern, please contact chloe.lingard@tsaptravel.com and we will do our best to support you.

Your project price will be quoted in GBP, however, you will be able to make payments in other currencies via bank transfer to TSAP.

We do not offer payment plans but do require all project fees to be paid 6 weeks prior to commencement of your project, however, you can pay in instalments if you wish and we will provide email receipts for these payments. If you fail to pay your full project amount 6 weeks prior to the commencement of your project TSAP Travel reserves the right to cancel your project, with no refund guarantee.

Your place on the project will not be secured unless you pay the non-refundable deposit of £150.

Cancellations & Refunds

Where TSAP (Travel) cancels or curtails a project due to force majeure

The Sustain Ability Project reserves the right to cancel or curtail a project for reasons of force majeure (as described below)

In the case of force majeure, project fees will remain refundable up to 50% or you can receive a credit for the total amount you have paid use towards an alternative start date. Credit will be issued to the project participant and use of the credit will be subject to project availability.

In cases of curtailment due to force majeure, your first recourse will be to claim the balance of your program fee from your insurance (if you have opted for TSAP to provide your insurance we will do this). In the event the reason for curtailment is not covered by insurance, TSAP will provide you with a refund up to 50% or provide you a credit with the amount of your unused project fee which can be used towards a future project. Credit will be issued to the project participant and use of credit will be subject to project availability. Credit is non-transferable or redeemable for cash.

In all cases of cancellation by TSAP Travel, TSAP will not refund you for any expenses incurred by you in relation to your project, including, but not limited to, airfare, visa expenses, insurance, documentation and equipment purchases (unless covered by your insurance provided by TSAP).

Where TSAP cancels or curtails a project outside of cases of force majeure

In all other cases where The Sustain Ability Project must make a cancellation, TSAP will offer you a up to 50% refund of the project fee or a credit with the amount you' have paid towards your project to use for an alternative start date. Credit will be issued to the project participant and the use of credit will be subject to project availability. TSAP reserves the right to provide alternative destinations or project focuses. Credit is non-transferable and not redeemable for cash. TSAP will not refund you for any expenses incurred by you in relation to your project, including, but not limited to, airfare, visa expenses, insurance, documentation and equipment purchases (unless covered by your insurance provided by TSAP).

Where you choose to cancel your project

In the event you cancel or curtail your project for any reason, project fees paid will be refunded up to 50% (if payments have not been made via the Donations Page).

On Your TSAP TRavel Project

Health & Safety

You must always respect and follow the health and safety procedures that are set out by TSAP Travel and the in-country staff.

In the event you break any local laws, we will obtain no liability and will not be required to mediate on your behalf with local authorities.

TSAP Travel Project Leaders reserve the right to make decisions on your emergency medial care in the event that you are not able to do so and we cannot reach your emergency contact immediately. TSAP Travel will not be held liable for such care and decisions.

Disciplinary Procedures including Expulsion

TSAP Travel reserves the right to remove you from the project at any point during the project for the below reasons (however, these are not exhaustive);

  • Possession, taking, or supplying of illegal or mind-altering substances (including marijuana)

  • Being intoxicated whilst volunteering

  • Breaking local laws

  • Bullying, displaying cruel, thoughtless or rude behaviour or committing acts which could injure or harm another participant, staff member, community member or any other person.

  • Disruption of project activities

  • If the Project Leader feels it is in the best interests of your health and safety

  • Committing an act or displaying behaviour which could jeopardise future TSAP projects within the host country or lead to the souring of relations between TSAP and host communities or country.

In the event of expulsion for any reason, you will not receive compensation or refund of your project fee nor will TSAP Travel be responsible for any additional costs incurred as a result of your expulsion.

Activities Outside of TSAP

When travelling abroad and joining TSAP Travel in-country there will be the opportunity to take part in tourist activities and experiences. These activities are not included in the project fee, however, TSAP Travel will work with local partners to plan weekend activities that are in line with are sustainability goals and beliefs. The activities we plan will be offered to volunteers when in-country but some will be at an extra cost to the volunteer (no profit from these activities will be taken).

WORKING WITH CHILDREN

TSAP Travel does not actively work with children in developing countries, on the rare occasion where children are present under no circumstances do you place yourself in a situation where you are alone with children in a closed environment.
