Concierge Service
Terms & Conditions
These terms apply to all Global Travel Concierge bookings with TSAP Travel. Last updated May 2026.
1. Nature of the Service
- TSAP Travel's Global Travel Concierge service provides bespoke travel planning and booking for destinations worldwide.
- Our concierge service covers ground arrangements only — accommodation, transfers, guided tours, activities, and restaurant reservations. International and domestic flights are expressly excluded and are the sole responsibility of the client.
- TSAP Travel acts as a travel agent in arranging bookings with third-party suppliers on your behalf.
2. Planning Process & Agreement
- Following your initial enquiry, TSAP Travel will provide a complimentary outline proposal. This does not constitute a booking.
- A booking is confirmed when you provide written acceptance of the final itinerary and quotation, and the required deposit has been received.
- A planning fee may apply for complex multi-destination itineraries. This will be communicated clearly before any fee is charged.
3. Deposits & Payment
- A deposit of 25% of the total ground arrangement cost is required to confirm your booking and begin supplier reservations.
- The balance is due no later than 60 days before the first service date. For bookings made within 60 days, the full amount is payable at time of confirmation.
- All prices are in GBP (£) unless otherwise agreed. Prices are ground-only and exclude all flights.
4. Cancellation by the Client
- All cancellations must be sent in writing to hello@tsaptravel.com.
- Cancellations more than 60 days before first service date: deposit forfeited, no further charge.
- Cancellations 31–60 days before: 50% of total cost payable.
- Cancellations 15–30 days before: 75% of total cost payable.
- Cancellations 14 days or fewer before: 100% of total cost payable.
- Note: some suppliers (e.g. boutique hotels, private tours) impose their own stricter cancellation terms. These will be communicated in your itinerary.
5. Amendments
- Amendments requested after confirmation will be accommodated where possible. An amendment fee of £25 per change may apply if a change requires supplier renegotiation.
- Significant itinerary changes (e.g. destination, travel dates) may be treated as a cancellation and re-booking.
6. Cancellation or Changes by TSAP Travel
- In exceptional circumstances (e.g. supplier failure, force majeure), TSAP Travel may need to modify or cancel services. We will always seek to provide alternatives of equal or greater value.
- If a service cannot be replaced, a pro-rata refund of the affected portion will be issued.
7. Travel Insurance
- Comprehensive travel insurance is strongly recommended for all clients using our concierge service.
- Your policy should cover trip cancellation, medical expenses, personal liability, and emergency repatriation.
- TSAP Travel is not responsible for losses arising from a client's failure to hold adequate insurance.
8. Flights
- TSAP Travel does not book flights. All flight arrangements are the client's sole responsibility.
- TSAP Travel accepts no liability for missed, cancelled, or delayed flights, or for any consequential loss to ground arrangements caused by flight issues.
- We recommend booking flexible or refundable fares where possible.
9. Supplier Terms
- Individual suppliers (hotels, tour operators, transport providers) have their own terms and conditions which you also accept when booking through TSAP Travel.
- TSAP Travel is not liable for the acts or omissions of third-party suppliers, though we select all partners with care.
10. Client Responsibilities
- You are responsible for ensuring all travellers hold valid passports, visas, and any health documentation required for your destination.
- You are responsible for disclosing any medical conditions, dietary requirements, or accessibility needs at the time of enquiry.
- TSAP Travel accepts no liability for issues arising from a failure to disclose relevant information.
11. Liability
- TSAP Travel's liability is limited to losses caused by our own negligence or breach of duty.
- We are not liable for any indirect or consequential losses, or for losses caused by events outside our reasonable control.
- Nothing in these terms excludes or limits liability for death or personal injury caused by TSAP Travel's negligence.
12. Governing Law
- These terms are governed by the laws of England and Wales.
- Any disputes shall be subject to the exclusive jurisdiction of the English courts.
